AAUW California uses CiviCRM to track board positions and committee assignments statewide

Each June, AAUW California asks outgoing branch presidents to assign board officers and committee positions for the upcoming year. Managing, tracking, and communicating with leadership teams across the state was accomplished through a highly customized standalone application. Despite being web-based, the system was not integrated into the AAUW California website and required login credentials separate from those used to access protected areas of the website.
When supporting a legacy application written in ColdFusion became impossible, AAUW California took the opportunity to move to CiviCRM. Tadpole built a solution that leverages SearchKit and FormBuilder to present front-facing forms to branch presidents, allowing them to assign board positions to existing contacts and create new contacts as needed. Administrators can easily locate officers at the branch or state level, send targeted emails to segmented lists, and track the process to ensure every branch completes its assignments.
An added benefit was the elimination of the cumbersome task of compiling an annual PDF directory. The new directory of current officers is now searchable, sortable, and always up to date.

Challenges:

  • Rigid, outdated system that required a developer to make manual updates each year
  • No integration with the AAUW California’s website

Impact:

  • Integrated experience for users. One login to access the system and protected areas of the website
  • Easily updateable by AAUW California. SearchKit and FormBuilder settings can be updated each year without the need for developer assistance
  • Improved online directory allows for searching, sorting and downloading of data
