CiviCRM Streamlines Operations for Pet Food Pantry
Leon County Humane Society (LCHS) operates a Pet Food Pantry that provides free pet food and supplies to families in need. It used to rely on a paper-based system, where applicants had to fill out Google forms and bring them to LCHS’s office with proof of income and pet vaccinations/spay-neuter status. Staff would manually transfer application data to an Excel spreadsheet which was also used to track requests for food and supplies. This approach created significant challenges when it came time to report on applicants and the distribution of resources.
To streamline operations, Tadpole Collective implemented a CiviCRM-based solution for LCHS that allows applicants to complete the form online before visiting the office with documentation. Staff access the application via a SearchKit table and can log requests for food from the same screen. The new system has dramatically improved data integrity and accessibility and provides LCHS with a way to generate reports and track distributions without having to manually consolidate and compile data from spreadsheets.
